Engagement Process

A disciplined workflow from first conversation to executive review.

Every Velaryn engagement follows a defined process — controlled scope, protected confidentiality, careful data handling, and practical deliverables at every stage.

Phase One — Engagement

Before work begins

1

Diagnostic Discussion

Determine project type, field concerns, data availability, urgency, and service fit. No cost, no obligation. This step confirms whether Velaryn is the right resource before any agreement is considered.

2

Scope Confirmation

Define service type, review boundaries, timeline, deliverables, and starting price. All ambiguities are resolved before signing. Change order terms are established upfront.

3

NDA / MSA / SOW Execution

Appropriate agreements are signed before any sensitive information is shared or paid work begins. Governing law is North Carolina / Robeson County. E-signature supported.

4

Secure Data Intake

Client provides approved records through a controlled, documented transfer process — no sensitive records through the public contact form. Data handling follows the governing agreement and Velaryn's security SOP.

5

Record Review & Normalization

Records are organized, validated against agreed scope, and prepared for analysis. Inconsistencies and gaps are flagged before analysis begins — not discovered after.

Phase Two — Delivery

The work and the output

6

Operational Analysis

Findings are developed across labor, mobilization, rentals, production, reporting, and closeout. Each finding is supported by specific record evidence — not general observation.

7

Findings Report

Each finding includes: the observation, estimated impact where supportable, the specific evidence behind it, and a recommended corrective action. No filler.

8

Executive Scorecard & Roadmap

Leadership receives the green/yellow/red Efficiency Scorecard and a 30-Day Corrective Roadmap organized by priority, estimated effort, and sequencing.

9

Executive Review Call

Velaryn walks decision-makers through the scorecard, findings, risk matrix, and roadmap. Questions are answered. Next steps are confirmed.

10

Optional Follow-Up Support

Additional support scoped separately for implementation, field stabilization, governance, SOP development, or ongoing oversight. Not required — but available if the engagement warrants it.

Questions about how an engagement works?

The diagnostic discussion is no-cost. It takes 30–45 minutes and determines fit, scope, and whether Velaryn is the right resource for the project.
